You can send each new lead to up to 5 email addresses. Go to Customize, then Lead Generation, then Email notifications.
Every new lead is sent to every address on the list as soon as the form is submitted. The counter shows how many slots you have used, for example 2/5.
Who should get lead emails?
Add the people who follow up with leads. Usually that is you, plus anyone who covers when you are away.
If your team uses a shared inbox like sales@ or hello@, use that instead of individual addresses. It keeps things simpler and saves slots.
What is in the email?
Each email includes the visitor’s:
- name
- phone number
- message
- any custom form fields
That is usually enough to follow up without opening the app.
The one that always sends
Contact details collected after an escalation always go to the account owner’s email, even if you have not set up lead generation or added any addresses here. When the assistant hands a conversation over and takes a phone number, somebody needs to know.
Remove an address
Remove it from the list on this tab and select Save changes. That address stops receiving leads immediately.
Not getting the emails?
First, check Spam. Then add our sending address to your contacts.
If you use a work email, your company’s email filter may be blocking messages. If so, ask your IT team to allow our domain.
Next step
Set up conversation notifications, if you want alerts when a conversation needs your attention.
